Liability Waiver

Introduction

By attending, participating in, or allowing your child to participate in gaming sessions, parties, or events at Gamer HQ, you agree to the following terms:

1. Supervision & gameplay

  • Gamer HQ provides a safe and supervised environment, and our team will always be present to assist and monitor gameplay.
  • However, due to the wide variety of games available, we cannot fully control or restrict which games players choose to play. While staff encourage age-appropriate gaming, it remains the responsibility of parents or guardians to inform us in advance if any specific content or game should be avoided.
  • Some games include live online chat or multiplayer interaction. Gamer HQ is not responsible for the content or language used by other online players (including profanity or inappropriate behaviour) during gameplay.

2. Health & medical conditions

  • Some games and VR experiences contain flashing lights, strobing effects, or fast-moving images. A very small number of people may experience seizures, blackouts, or dizziness when exposed to these, even with no previous history. If you or your child has a history of epilepsy, photosensitivity, or any condition that may be affected, please speak to us before playing — and stop immediately and tell a member of staff if anyone feels dizzy, faint, disoriented, or unwell.
  • Gaming and VR can involve physical movement and activity. If you or your child has a heart condition, is pregnant, or has any other medical condition that may be affected by physical activity or screen use, participation is at your own discretion and we recommend seeking medical advice beforehand.
  • You consent to Gamer HQ staff administering basic first aid where needed, and to us contacting the emergency services if we consider it necessary. Any costs arising from medical treatment remain the responsibility of the parent or guardian.

3. Virtual Reality (VR) safety

  • VR gaming involves physical movement and can occasionally result in minor contact, loss of balance, or motion-related discomfort.
  • VR headsets are made by third-party manufacturers and carry their own age and health guidance (most are recommended for ages 13 and over). Use of VR by younger children is at the parent's or guardian's discretion, and all players must use VR equipment in line with manufacturer guidance.
  • By participating, you acknowledge that Gamer HQ is not liable for any injuries, falls, collisions, or other incidents that may occur while using VR equipment.
  • All players must follow staff instructions, remain within the designated VR area, and use the safety padding provided.

4. Food & allergies

  • Where party food or refreshments are provided, we cater on the basis of the dietary and allergy information you give us in advance. While we take allergies seriously, our premises handle a range of foods and we cannot guarantee an entirely allergen-free environment or that there will be no cross-contamination.
  • It remains the responsibility of the parent or guardian to inform us of any allergies or dietary requirements before the event, and to supervise what their child eats and drinks during their visit.

5. Personal belongings & property

  • Gamer HQ is not responsible for the loss, theft, or damage of any personal items brought onto the premises. We recommend that all valuables are kept with parents or guardians.

6. Parental responsibility

  • Parents or guardians remain responsible for their children while on the premises, including ensuring appropriate behaviour and respect for equipment and other guests.
  • Any deliberate damage to property or equipment may be charged to the parent or guardian of the responsible child.

7. Behaviour & right to refuse entry

  • We want every guest to enjoy their visit. Gamer HQ reserves the right to refuse entry to, or remove from the premises, anyone behaving in a way that is unsafe, abusive, or disruptive to other guests or staff, or who is deliberately misusing equipment.
  • No refund will be given where a guest is removed from the premises for this reason.

8. Photography & media

  • From time to time we may take photographs or video at Gamer HQ — including during parties and events — for our own records and for promotional use, such as our website and social media.
  • If you do not wish for yourself or your child to appear in any such media, please let a member of staff know before or during your visit and we will do our best to accommodate your request.

9. Acceptance of risk

  • By entering Gamer HQ and/or participating in our sessions, you acknowledge and accept the inherent risks associated with gaming and VR activities, and you agree that Gamer HQ, its staff, and affiliates shall not be held liable for any injury, loss, or damage except where caused by our proven negligence.

10. Governing law

  • This Liability Waiver, and any matter arising from it, is governed by the laws of England & Wales and is subject to the exclusive jurisdiction of the courts of England & Wales.
  • Nothing in this waiver excludes or limits our liability for death or personal injury caused by our negligence, or for any other liability that cannot be excluded or limited under applicable law.

11. Agreement

  • By submitting a booking online, you confirm that you have read and understood this Liability Waiver and agree to its terms on behalf of yourself and any minors under your care.
